On August 20, 2018, new Award Management functionality will be released in eResearch Proposal Management (eRPM). We are excited about this release and how it will improve award transparency and streamline processing. As with any change, this transition will require effort and patience.
Here's what you need to know about your projects, and how you can help.
Things to Note
Moratorium on Processing New Awards
Beginning at 5:00 p.m. on Friday, August 10, 2018, until 8:00 a.m., on Monday, August 20, 2018, ORSP will stop processing any new awards or award changes. This is necessary to facilitate a clean transition of data into the new award records. After August 20, we ask for your kind support and patience as we address the backlog of work that we could not address during the moratorium.
Data Conversion Week
In addition to all the awards and award changes that cannot be processed during the moratorium, other items will require rework by ORSP after the August 20, 2018 release date.
Specifically, any Proposal Approval Forms (PAFs)that are in the process of being awarded or in the process of a post-award modification at the time data is converted, will need to be recreated by ORSP with a new "AWD" record.
What will happen to items in progress at the time of data conversion?
Initial Awards in Progress (i.e., The PAF is in the process of being awarded for the first time.)
Revert to the state of Submitted to Sponsor. New AWD record must be created by ORSP.
Post-Award Modifications in Progress (i.e., The previously-awarded PAF is in the process of being modified.)
Converted to an AWD record in the new system in the state of Active. Modification must be created by ORSP.
Our goal is to clear out as many of these PAFs in transition as possible to minimize the amount of rework necessary. As you can imagine, there are hundreds of such projects throughout University units awaiting project team action.
We kindly ask that project teams proactively address issues that are now preventing PAFs from entering the state of Active to avoid rework later.
Actions to Take
Please Resolve any Compliance Holds or Other Requirements
At your earliest ability, and before Friday, August 10, please resolve any compliance holds or other outstanding requirements that you can.For example:
The Program for Education and Evaluation in Responsible Research and Scholarship (PEERRS) certifications
Institutional Animal Care & Use Committee (IACUC) applications
Conflict of Interest Disclosures using the M-Inform (Disclosure System) via Wolverine Access
Progress Reports
Final deliverables
PI signatures on Contracts
PI signatures on PAFs
Prioritize Requests
During the next two weeks please prioritize requests based on urgency while our Project Representatives work through hundreds of PAFs, Project Award Notices (PANs), and Project Award Changes (PACs) to prepare for this conversion.

Note New Changes to the Post Award Change Request form
In preparation for launch, we are making changes to the Post Award Change Request form (PACR). We are adding a section that is only for new PIs to disclose whether or not they have a conflict of interest with the sponsor or any related entity, and to agree to a "PI Responsibility Statement for New U-M PIs" that will appear on the future version of the PACR. (We'll announce and link to this new PACR later this month.)
