Dear BIA members,

I wanted to let you know that Jennifer Cain will be leaving the BIA as of November 18, 2016.  

Jennifer has been truly dedicated to making the BIA better. She has developed great relationships with many members in the BIA and is always ready to assist members with their questions or concerns.  She also makes the office run smoothly which is greatly appreciated by the BIA staff.

Please join us in wishing Jennifer farwell.  We will be having a drop in Wednesday November 16 from 5 to 7 pm - place to be confirmed (email to follow).

Downtown Oakville BIA - Membership Coordinator
 
Job Summary
The Downtown Oakville BIA Membership Coordinator is a customer facing role and is the first point of contact at the BIA for members and the public. The role provides in person member services, beautification and administrative support to the BIA.  The position reports to the Executive Director and provides support to all staff at the BIA.

Duties include –
Member services:
Relationship development – establish and maintain positive and proactive relationship with members, including a set cycle of in person visits to members
Respond to member inquires and concerns – timely, personable and professional engagement and follow up with members through email, phone and in person
New member onboarding – new member kit, Downtown Oakville orientation and BIA services offered
Member database management – update the member database, membership reporting
Member communications – newsletter creation, email campaigns, online surveys, physical delivery of member and marketing materials
Meeting planning – including annual general meeting and quarterly member socials
Event activations – coordinate member activations at events, attendance at events is required (incl. evenings and weekends)
BIA website – maintain and update as required for events, business directory, member events and specials
 
Streetscape:
Execute BIA beautification plan – order and arrange installation of seasonal and ongoing elements
Public area monitoring – ensure all public areas are kept clean and appropriately maintained, work with the Town, Region and/or members to action as required
 
Administration:
General office maintenance – supply ordering, light office work, monitor and respond to correspondence
Meetings – Prepare agendas, take and distribute minutes, plan facilities as required
Financial office duties – process supplier invoices, bank deposits and bill payments
Volunteers – maintain volunteer database and recruit for BIA events as required
 
Qualifications:
College or university degree with minimum 2 years work experience
Work experience in a not for profit organization and in customer service roles preferred
Excellent people skills – enjoy meeting with and engaging new people, good at determining issues and providing resolution
Calm under pressure – able to listen and provide solutions to stakeholders
Ability to perform physical duties as required for distribution of materials and event delivery
Must be able to flexible hours including days and weekends related to BIA events
Driver’s license, access to a vehicle and ability to travel for work related functions
Proficient in MS Office (Word, Excel, PowerPoint), Outlook and website maintenance
